Job Overview

We are currently seeking an ambitious and detail-oriented Office Administrator to join our Finance and Office Administration team in Mae Sot, Thailand. This full-time position is available immediately and offers a fulfilling opportunity to contribute to a meaningful cause while working in a collaborative and supportive environment. The role is especially suited for someone with a solid understanding of legal and administrative processes, including work permits, visa applications, and compliance matters related to projects and office operations.

Responsibilities

The Office Administrator will be responsible for a broad range of legal and administrative duties, including but not limited to:

  • Managing visa and work permit processes for foreign employees, volunteers, and their family members (preparation, renewal, cancellation)
  • Assisting with annual income tax filing and social security registrations for foreign staff
  • Ensuring legal compliance with Thai laws in relation to office operations and project activities
  • Preparing, reviewing, and processing legal documents related to construction and liaising with government agencies
  • Providing general administrative and HR-related support
  • Overseeing the car fleet, including insurance and road tax
  • Organizing and maintaining documents such as contracts, reports, invoices, and financial files
  • Managing inventory and procurement while adhering to budgetary guidelines
  • Building and maintaining relationships with key government offices (immigration, labor department, etc.)
  • Coordinating with the Regional HR and Administration Department
  • Performing other administrative and legal tasks as needed

Qualification

Education and Experience

  • Diploma in Business Administration or a related field
  • Minimum of 3 years of relevant work experience
  • A strong interest in NGO work and supporting sustainable development goals

Soft Skills

  • Excellent organizational and prioritization abilities
  • Attention to detail with critical thinking and problem-solving skills
  • Service-oriented with strong interpersonal and cross-cultural communication skills
  • Adaptable, flexible, and able to work in a fast-paced environment
  • Collaborative team player with a positive and open-minded attitude

Hard Skills

  • In-depth knowledge of visa, work permit, labor law, social security, and Thai income tax regulations
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Native Thai language proficiency and advanced English communication skills (written and verbal)

  • Must be able to drive and willing to travel for work-related purposes
